How a US Jewelry and Clothing Brand Sells on Faire and Shopify from Odoo

A US jewelry and cotton clothing brand sells through its Shopify web shop and wholesale on Faire, and runs stock, purchasing and subcontracted production in Odoo. TeqStars built the brand's Faire integration with Odoo and extended its Shopify connector. Faire orders arrive with their fees, a reserve holds stock for the brand's other channels, and designs that sell out keep taking Faire orders as preorders dated from incoming purchase orders.

What challenge was the customer facing?

The brand needed Faire to run from Odoo the way its Shopify web shop already did. Wholesale orders had to arrive in Odoo complete, Faire could not be offered every unit in stock, and designs still on order had to appear on Faire as preorders with ship dates that follow the purchase orders.

The company sells jewelry, including bracelet and necklace collections, and cotton clothing. Odoo handles sales, stock and purchasing, and subcontracted production too: the brand buys cotton and rayon fabric, delivers it to two subcontractors and sends them purchase orders for finished products. Retail customers buy through the Shopify web shop, which runs on the TeqStars Shopify Connector, and shops buy wholesale through Faire.

Faire orders reached Odoo through an earlier Faire module, and the team wanted to expand it so the orders came in correctly. Their list covered wholesale prices the team could change for promotions, a Faire sales team, Faire's ship date, the right journal, and Faire's commission and payment processing fee on proper lines instead of custom ones.

Stock raised a harder question. Faire earns the brand less than its other channels, so the team did not want every unit offered there. Odoo had to hold back a percentage of stock and, once stock ran low, stop offering a product on Faire so the last units stayed for the other channels. That rule had to be one setting for the whole catalog: with far too many products, setting it product by product was not an option.

Availability was the other gap. When a design sold out with a purchase order on the way, Faire had to show it as a preorder for future delivery, with a start and an end ship date, and switch it back to in stock when the goods arrived, size by size and color by color where needed. Product photos went to Shopify and to Faire one platform at a time. Collections that Odoo keeps as one product, with each design as a variant, also had to reach Faire as separate products under each design's own name.

What did the business need to achieve?

Faire had to work from the first day it went live, with Odoo deciding stock, dates and order details for both channels. The brand asked for:

  • Faire orders imported on a schedule, with discounts, commission and fees on their own lines
  • one stock reserve for every Faire listing, set once on the Faire instance
  • preorder ship dates taken from incoming purchase orders, with buffer days the team controls
  • product photos and listing names kept in Odoo and sent to Shopify and Faire
  • every change tested on a staging database before it reached the live one

How did TeqStars help?

TeqStars built a Faire connector for Odoo on the same marketplace framework as its Shopify Connector, then extended both connectors for the way the brand sells. Listings, stock, orders, ship dates and tracking for Faire are managed from Odoo, and scheduled jobs keep the two sides in step without manual exports.

  • Faire orders in Odoo. New orders import every 5 minutes, or by order ID. Each brings its retailer and discounts, with Faire's commission, Insider free shipping and processing fee on separate lines.
  • Order rules. Orders take the pricelist and sales team set on the Faire instance, and each Faire status has its own workflow and payment terms. When Faire reports an order delivered, Odoo confirms the delivery.
  • Ship dates and tracking back to Faire. Tracking details go to Faire every 25 minutes. A button on the delivery order sends its scheduled date to Faire as the order's expected ship date.
  • Stock reserve. Two settings on the Faire instance, Odoo Reserve % and Minimum Odoo QTY, decide what Faire sees: the stock left after the reserve, or nothing once that drops below the minimum.
  • Next receipt per variant. Each product variant shows its Next Receipt Date and Next Receipt QTY from its latest open purchase receipt, following the receipt when its date moves and clearing once the goods arrive.
  • Preorders on Faire. A sold-out variant with stock on order becomes a preorder, with start and end ship dates from its next receipt plus buffer days, set per variant since Faire's API allowed it.
  • Update Availability on Faire. A scheduled job keeps preorder dates and Faire's Continue selling when out of stock option current. The Update Listing screen sends the same with stock, and its other options start unticked.
  • Photos added once. Extra product images added in Odoo go to both the Shopify and the Faire listings, instead of being uploaded to each platform by hand.
  • One listing per design. Add to Listing can create a separate listing for each variant, with an appended value, so every design reaches Faire under its own name instead of the collection's.
  • Shopify Connector extensions. Variants join an existing listing by Shopify product ID, unpublished products go to Draft in Shopify, an adjustment line matches Odoo's order total to Shopify's, and Shopify invoices skip payment follow-ups.

The work began with the Faire account set-up and an import of the brand's existing Faire products into Odoo, so every Faire listing was matched to its Odoo product before anything was exported. Each part was built and tested on the brand's staging database first. When Faire announced that its API would accept ship dates per variant, the brand chose to wait for it and test on staging, because Faire had to work from the start. TeqStars also wrote the documentation for the Faire integration.

After go-live, TeqStars reproduces reported problems on a restored copy of the live database before changing anything. That is how an order that would not import was traced to a product's bill of materials, and how a missing Resupply Subcontractor on Order route was found, the reason one subcontractor's purchase orders did not create resupply transfers. When Faire's API refused stock updates over a 75-character short description that was not even being sent, TeqStars prepared the exact request for the brand to send to Faire's support team and applied the change Faire recommended.

Challenges we solved

  • Faire orders missing wholesale details, commission and fees

  • Uploading the same photos to every platform
  • Collection names on Faire instead of design names
  • Shopify order totals that differ from Odoo

What business processes improved?

Before

Faire orders arrived through an earlier module, and the team kept a list of corrections, from wholesale prices to Faire's commission and fees. No reserve held stock back from Faire for the brand's other channels, and product photos were uploaded to Shopify and to Faire separately.

After

Faire orders import every 5 minutes with their fees on separate lines, and tracking returns to Faire on a schedule. One reserve setting covers every Faire listing, designs still on order sell as preorders with dates from purchase receipts, and photos added once in Odoo reach both platforms.

Wholesale orders from Faire now reach Odoo without anyone keying them in, and each one already shows Faire's commission and fees as separate lines, so the order total in Odoo is the amount after Faire's deductions. The warehouse ships Faire orders from Odoo deliveries, like Shopify orders, and their tracking goes back to Faire on its own.

Stock on Faire follows Odoo every 5 minutes, minus the reserve, so when a design runs low its last units stay with the brand's other channels instead of going into a wholesale order. A design that sells out with a purchase order on the way stays on sale on Faire as a preorder. Its ship dates move when the purchase receipt moves, and once the goods arrive Faire shows it in stock again.

Product photos and design names now live in one place: the team adds them in Odoo and publishes them to Shopify and Faire from there. On the Shopify side, TeqStars added handling for a type of refund that used to fail on import, which now creates its credit note in Odoo. Quotations and order confirmations print with each line's product image.
