How a German Spice and Tea Business Runs Shopify Orders, iPad Picking and DHL Shipping in Odoo 18

A German spice and tea business sells through its Shopify web shop, its own shop and Amazon, packs its spices in-house and ships with DHL. TeqStars runs its Shopify Odoo integration and shaped the Odoo Barcode app, packing, labels and reports around the warehouse team, then carried every change through upgrades from Odoo 14 to 16, 17 and 18.

What challenge was the customer facing?

The business needed one Odoo that follows its orders from the shop to the parcel: Shopify and Amazon orders in, spices packed and lot-labeled in-house, items picked on iPads, and DHL labels printed for every parcel. Standard screens and reports did not match the way its small warehouse team works.

Orders reach Odoo from the Shopify web shop, from the company's own shop and from Amazon, whose orders arrive through Shopify. Some orders carry tags that should add a free item, such as a sample for a new customer or a wooden spoon as a gift. Amazon orders arrived without the buyer's email in the right field, so Odoo could not validate them automatically.

The team packs spices and teas itself, from peppers to basil refills, so every batch needs a lot number, a best-before date (MHD) and a manufacturing sheet the workers fill in by hand, with space for waste and part jobs. Tea sets are sold as kits, and a set should show as available when its teapot and cups are in stock.

Picking runs on iPads in the Odoo Barcode app, often as batches of several orders at once. The pickers needed to see which order each item belongs to, to read the SKU and product at a glance, and to stop tapping open groups when a promotion put the same SKU on an order twice.

Shipping adds its own rules. DHL labels printed automatically after a batch was validated, but in no useful order. Parcels to Switzerland need HS codes for the customs form, the shipping weight must include the box and filling material, and DHL announced the end of its SOAP interface, which the manual label button still used.

What did the business need to achieve?

The business needed its daily flow to run in Odoo without workarounds, and to keep running through each new Odoo version. Success meant:

  • Shopify and Amazon orders imported complete, with tagged free items and customer emails
  • lot-labeled in-house packing with sheets the workers can write on
  • fast batch picking on iPads, one screen per batch
  • DHL labels in picking order, customs data and correct weights
  • the same features after every upgrade

How did TeqStars help?

TeqStars runs the business's Shopify Odoo integration on its own Shopify connector and extended Odoo around the warehouse. Requests came from the customer's team as short videos or annotated screenshots, and TeqStars turned each one into a change for the live database.

  • Batch picking by order: in a batch, each order's lines carry their own emoji and a wide colored edge on the iPad, so pickers put every item in the right bin.
  • Readable picking lines: the product name shows in bold, the variant in italics, the SKU in brackets on the same line and the delivery number larger, with the unused location line removed.
  • Lines sorted by SKU: the Barcode app lists items by internal reference, and groups of the same SKU open by default, so no extra tap is needed.
  • Orders from Shopify and Amazon: order tags add free items automatically, Amazon buyers' emails land in the right field, and the public invoice link is written back to the Shopify order.
  • Stock for kits: tea sets built as kits export the quantity their components allow to Shopify.
  • In-house packing: manufacturing sheets carry the lot (Charge), best-before date, waste and part-job columns, lot labels print with a large barcode, and the production calendar shows the details the planner needs.
  • DHL shipping: labels print sorted by delivery number after a batch is validated, the manual label button moved from SOAP to REST before the shutdown, and shipping weight adds the box and filling material.
  • Customs and documents: delivery notes show HS codes only for non-EU deliveries by fiscal position, invoices fit window envelopes, and phone numbers left the delivery slip and invoice.
  • Warehouse overview: a Waiting Delivery Orders button, a forecast that names the manufacturing or purchase order behind each quantity, and batch screens that stay open after an action.
  • Accounting and staff: the DATEV export gained a full invoice date column, and planning counts hours worked on a normal day off toward overtime.

The warehouse changes were built with the people who use them. Each barcode request was checked against the customer's video of the iPad screen before delivery, and small follow-ups, such as making the delivery number larger or opening grouped lines, went out as separate changes.

TeqStars upgraded the database from Odoo 14 to 16, then 17 and 18, one version at a time. Each customization was carried forward and tested on a restored copy before the live switch. Day-to-day requests, from a Shopify order that would not import to a free item that did not appear, were handled alongside through Odoo support.

What business processes improved?

Before

Pickers worked through batches on the iPad without a clear sign of which order an item belonged to, and repeated SKUs from promotions sat in closed groups that had to be tapped open. DHL labels came off the printer unsorted after a batch was validated and had to be put in order before packing.

After

The picker opens the batch on the iPad and sees each order marked by its own emoji and color, items sorted by SKU and repeated SKUs already open. After validation, DHL labels print in delivery number order, with the right weight and, for Switzerland, HS codes on the delivery note.

The warehouse team now picks a whole batch from one iPad screen: each item shows its order's emoji, the SKU and product are easy to read, and lines appear in SKU order. Labels come out of the printer in the same order as the deliveries, so packing a batch no longer starts with sorting paper.

Orders need less attention before they reach the warehouse. Tagged orders get their free item, Amazon orders carry the buyer's email and validate automatically, kits show the stock their parts allow, and customers find their invoice from the Shopify order. Packing sheets and lot labels give every bag of spice a traceable lot and best-before date. In the office, the DATEV export now carries the full invoice date, and planning counts hours worked on a day off.
